About

Why World Tour Pro Exists

Between managing dozens of crew members, coordinating transport across multiple cities, keeping track of venues, set lists, schedules, guest lists, and finances, all while actually delivering the show, tour managers have historically relied on a patchwork of email threads, shared spreadsheets, and printed day sheets, to hold everything together. It’s a system that requires a lot of data entry and follow up. Files get out of sync. The wrong version gets shared. Someone misses a movement time because it was buried in a message chain. World Tour Pro was built to fix that.

Built by People Who’ve Lived It

World Tour Pro wasn’t designed in a boardroom. It was designed by touring professionals, who know what it actually feels like to be standing at the side of a stage at midnight, trying to coordinate ground transport for fifteen people while simultaneously updating the next day’s schedule. Every screen, every feature, and every workflow in the app reflects real decisions made in real touring environments, not assumptions made from the outside looking in.

Everything a Tour Needs, in One Place

World Tour Pro brings together every aspect of tour management into a single, connected platform. Tour dates are organised by groups, which the user can define, whether it be legs, festivals, or themed runs, with a clear chronological timeline and instant filtering by show type, travel days, or days off. Each show date opens into a full show screen with everything you need: the daily schedule with drag-and-drop ordering, transport entries that automatically slot into the timeline, venue details and contacts, set list, guest list, backline, hotel info, crew assignments, finance tracking, and day notes. The venue info section of the show screen is also shared across organisations/bands, so that if you’re advancing your show, you have the ability to import the venue info that the last band who played that venue has inputted. While this is not a substitute for obtaining the latest venue specs straight from the venue itself, it can be a good starting point to be used as a cross-reference.

Schedules can be saved as templates and reused across dates, so building a standard show day only takes a few minutes. Sharing a day sheet has never been easier. At the bottom of each show screen, you have the ability to generate a pdf or text file of the day’s schedule, transport, set list, and venue contacts straight from the app, bypassing the need to use word processors. Finance entries sync automatically to the accounting section as you fill in guarantee, ticket sales, merch takings, and venue commission.

The app is built for the whole team, not just the tour manager. Role-based permissions mean crew and artists see exactly what they need and nothing they shouldn’t. Admins and tour managers control the data; everyone else stays informed. Notifications keep the team updated in real time.

Why You Need It

If you’re managing a tour on spreadsheets and group chats, you’re spending time on administration that should be going into the show. You’re creating risk every time someone works from an outdated file. You’re losing hours every week to tasks that should take minutes.

World Tour Pro aims to give your entire touring operation a single source of truth, instead of the traditional book of lies. Use it to ensure your team is always up to date. It’s built to handle the scale and pace of life on the road. Whether you’re running a ten-date regional tour or a multi-leg international run with a crew of fifty, the app scales with you.

Stop managing the spreadsheet. Start managing the tour.
